The Role
The Practice Operations Manager is the operational backbone of The Therapy Group. This role touches everything — from EHR management and client intake to hiring, onboarding, marketing, and podcast operations. You'll work directly with the owners and leadership team, and you'll be trusted to take initiative, solve problems, and continuously improve how the practice runs.

What You'll Do
Practice Operations & Client Experience
Manage day-to-day operations across scheduling, client intake, and session management
Check voicemail daily, respond to contact forms, and follow up with unmatched clients to connect them with appropriate care
Oversee all Slack channels and ensure clinician requests are addressed promptly
Send a daily roundup email to leadership covering calendar prep, unanswered emails, and action items
Manage out-of-network benefits checks and handle client billing support
Oversee consult requests from start to finish
EHR & Technology Systems
Manage and optimize the EHR system including customizations, troubleshooting, and staff training
Maintain and update the practice website, including therapist bios, blog posts, and SEO
Send monthly marketing emails and grow the email list
Manage group scheduling and support therapists running groups
Research and implement tech solutions to improve efficiency and client engagement
Handle office improvement projects, vendor coordination, and entry system management
Hiring & Onboarding
Post job listings and manage the full hiring process from inquiry to offer
Send interview summaries with resume and meeting links to leadership the night before second-round interviews
Manage onboarding and training for new clinicians and administrative staff
Marketing, Growth & Podcast
Support SEO strategy by ensuring website and social media content aligns with mental health trends
Post podcast episodes to social media and manage the podcast calendar
Prepare episode outlines including guest bios, listener questions, relevant statistics, and engagement hooks
Upload episodes to YouTube and other platforms with optimized descriptions and keywords
Write ad copy for podcast sponsors and manage guest outreach and pitching
Track podcast and marketing performance metrics and adjust strategy accordingly
What We're Looking For
2+ years of experience in operations, practice management, or a related administrative leadership role
Experience in a healthcare, mental health, or therapy setting strongly preferred
Familiarity with EHR systems (Jane experience a plus), telehealth platforms, and tools like Mentaya, Flodesk, Acuity, or Squarespace
Exceptional organizational skills with the ability to juggle multiple priorities without dropping the ball
Strong written and verbal communication — warm, professional, and clear
Self-starter who takes initiative and doesn't wait to be told what needs to happen next
Comfortable with ambiguity and adapting quickly in a growing practice
Experience with social media, content creation, or podcast coordination is a plus
A genuine passion for mental health and working in a mission-driven environment
